Member records that build themselves

Every booking updates the player’s record: total bookings, total spend, first booking, last booking, and when you last contacted them. A history tab lists every booking and its payment status, and activity notes keep calls and conversations in one place.

A shared WhatsApp inbox

Connect your club’s own WhatsApp number. Inbound messages are matched to the right club and linked to an existing contact or lead. If the sender is new, Playgeko creates a lead so nothing is lost. Staff can claim a conversation, reply from the inbox, and see unread counts.

A lead pipeline for new enquiries

Track a lead from new to contacted, qualified, and won or lost, with the source (walk-in, phone, website, referral, social, or event), an owner, and notes. When a lead is ready, convert it to a member record in one step.

The member record is where booking, coaching, and messaging meet. Bookings build it, coaching packages show on it, and follow-up sequences use it.

Questions clubs ask

Do I have to enter members by hand?

No. A member record is created from a player’s bookings, and you can also import a CSV or convert a lead. Spend, booking count, and first and last booking dates update automatically.

Can I use my own WhatsApp number?

Yes. Your club connects its own number through Meta’s sign-up flow. Messages are routed to your club only, and replies can be sent from the shared inbox. Replies are free-form text and follow WhatsApp’s 24-hour customer reply window.

What counts as a VIP?

You decide. Set a spend threshold and a booking-count threshold for your club, and members above either one are treated as VIPs.

Can I import my existing members?

Yes. Import customers and organizations from a CSV. You get a preview before anything is saved, and the same format works for exporting your data. Booking history is not imported, because it builds up as bookings are made in Playgeko.

Can staff see everything?

Staff can work with contacts, tasks, and the inbox. Importing, exporting, sequences, and staff reporting are limited to admins and owners.
